
The following terms and conditions apply to bookings entered into with Sedgefield Steeplechase Co. (1927) Limited. References in this agreement to SSL shall mean Sedgefield Steeplechase Co. (1927) Ltd.
No Booking is finally confirmed until the Confirmation Booking Form has been signed, sent and received to Sedgefield Steeplechase Co. Ltd.The person signing on behalf of the Client warrants to SSL that s/he has the authority to do so – failing this s/he will be personally liable under this contract.The Management of SSL reserves the right to re-negotiate the prices estimated for future events. This is limited to events booked more than 6 months in advance of the event date. Any proposed changes will be notified to the event organiser with full explanation of the reasons for the change.
A provisional booking can be held for 7 days without obligation. This booking may be automatically released unless written confirmation is received stating otherwise. To confirm the booking a deposit of 20% of the anticipated total cost or £100 + VAT which ever is the greatest will be required.
Payment shall be by cash, cheque, BACS or such credit cards as are recognised by SSL. Full payment of all charges, including VAT at the current rate, must be made 21 days prior to the event, unless the invoice is raised within 21 days of the race day when immediate payment is required. (All payments are due, prior to badges being sent). Any sundries should be settled within 21 days of the date of invoice. SSL will charge interest at the rate of 5% per month on all invoices, which are not paid within 21 days of the date of invoice.
Any alterations to requirements must be made in writing. SSL is unable to offer a refund against any reduction in numbers made 7 days prior to the date of the event. SSL reserves the right to cancel the event should payment not be received.
If the Client cancels by notice of writing to SSL, the following charges will be applied;
Cancellations will only be accepted and effective if notified in writing to SSL. Cancellations are deemed to be effective from the date that SSL receive the notice. SSL will endeavour to re-allocate the box space and a reduction of the cancellation charge will be made if re-allocated to another client. The amount of any such reduction will be at the discretion of SSL.
In the event that the client cancels a booking then in addition to an administration free previously referred to, any commitment that has been made by SSL on behalf of or for the benefit of the client for any services i.e. entertainment, car, flowers, equipment etc or otherwise whosoever arising, shall be promptly reimbursed to SSL in full or settled direct by the client who will indemnify and keep indemnified SSL, against all expenses, costs, claims, proceedings and demands suffered or incurred by SSL.
Ramside Event Catering have the sole right of the provision of food, beverages, wines and spirits, and therefore no items of this nature may be brought on site by clients or their guests except by prior written agreement with SSL. In the event of an item on a menu being unavailable, the closest alternative will be offered.
Sedgefield Steeplechase Co. (1927) Limited does not accept responsibility for the property of clients or guests. Cloakrooms are provided for the convenience of clients and their guests but any items deposited in the cloakrooms are at the owners risk and without any obligation or liability on the part of SSL howsoever arising.
Sedgefield Steeplechase Co. (1927) Ltd does not accept liability for any injury, loss or damage of whatever king suffered by you or your guests unless there was wilful default by SSL, its employees or agents and/or that death or personal injury was caused by the negligence of Sedgefield Steeplechase Co. (1927) Ltd, its employees or agents.
SSL reserves the right in its absolute discretion to refuse admission to any guest.
The Client shall be responsible for any damage caused to the allocated rooms, or the furnishings and equipment therein by any act, default, neglect of the client of any sub contractor or guests of the client and shall pay SSL the full amount required to make good any such damage. In the event that an unreasonable amount of clearing is required to the room or space after a function, an additional charge to cover layout and equipment costs will be levied which shall be reimbursed by the client.
Car parking is only permitted in the designated car parks. SSL accepts no responsibility for loss or damage to cars parked on the premises.
In the event of cancellation of the event by SSL, no charge will be made if no service whatsoever is provided.
SSL will not be liable for any loss or inconvenience to Clients caused by cancellation of a booked event due to:
The client shall indemnify SSL from and against all costs, charges, claims, expenses, demands and liabilities suffered or incurred by the Company as a result of any improper behaviour by the Client or its guests and / or in connection with any breach by the client of any of these Terms and Conditions.
The client must ensure that there is adequate security and first-aid arrangements in place for events. The Management of SSL reserve the right to impose additional security or first aid facilities where it is felt necessary to ensure the safety of all event attendees. Where applicable, the client will meet any additional costs incurred.
The client must ensure that all equipment supplied by the client for use within the boundaries of the Racecourse complies with the Health & Safety at Work Act and/or all other legislation. The use of items that require an above average electrical load must first be agreed by the Management of SSL.
Final numbers of the persons attending the raceday must be notified in writing to SSL no later than 7 working days before the event is due to commence. This number will be the minimum number chargeable to the account.

All notices and communications to be given in writing to SSL may be delivered by personal delivery or sent by facsimile transmission e-mail or posted by first class. SSL reserves the right to make any alterations in relation to a client's event due to changing circumstances. In this unlikely event, the client will be notified and an alternative offered. SSL will not be liable for any costs incurred as a result of this change.
